Organizer’s Meeting for Hacktoberfest Prep 2025 – Join Us!

Hello everyone!
Hacktoberfest is just around the corner, and we’re working on getting more organized for the community event. We’d love for you to be part of the process by joining our upcoming meeting, where we’ll discuss how contributors can get involved and learn about the tasks organizers take on.

  • Ways you can contribute as an organizer
  • Opportunities to get more involved (triaging issues, reviewing beginner-friendly PRs, etc.)
  • High-impact tasks where extra hands make a big difference
  • How to earn your Layer5 Hacktoberfest badge.

Organizer’s activities:

:memo: Creating & Reviewing Issues (open for all)

    • Use the appropriate issue template to keep things consistent.

    • Review each issue to ensure clarity and provide descriptive explanations so contributors can easily understand the issue.

    • Ensure if the repository is marked with Hacktoberfest topic.

    • Make sure to add hacktoberfest label.

    • Add relevant labels such as:

      • hacktoberfest

      • hacktoberfest-accepted

      • bug

      • enhancement

      • documentation

      • good first issue

      • help wanted

    • Make sure issues are appropriately labeled for Hacktoberfest readiness.

    • Keep the issue-tracking spreadsheet updated with details, descriptions, and current status. (open for all)

    • Assign issues to contributors to encourage participation. (Github Org members)

    • Review submitted issues and PRs.

    • Provide constructive, supportive feedback and answer contributor questions promptly.

    • Merge issues where appropriate, or tag maintainers when convenient.

Recognizing Contributors (Community managers)

  • Celebrate contributors’ achievements by assigning badges via Layer5 Recognitions via slack command.

Collaboration During Live Events (Github Org maintainers/ members)

  • If we host a livestream or meet for PR merging, support the backend team in reviewing, merging, and assigning labels in real time.

Onboarding & Support (open for all)

  • Welcome new members warmly on slack, meet, discussion forum.

  • Answer queries on Slack, discussion forums, and newcomers’ meetups.

Moderation

  • Ensure new issues are assigned correctly. (Gihub Org members)

  • Unassign incidental issue squatters to keep the repository clean. (Gihub Org members)

  • Moderate chats and comments during YouTube or Zoom events to ensure a healthy, respectful environment. (Community managers / open for all)

  • Mark spam PRs with spam labels. (Gihub Org members)
